Eiri's Heart Shaped Box, Ltd. (hereafter referred to as "EHSB," "the Company," "we," "us," or "our") recognizes that every submitted work represents an investment of time, effort, creativity, personal experience, or intellectual labor.
We further recognize that the submission of creative, informational, educational, spiritual, or other materials may involve the disclosure of private information, personal perspectives, sensitive experiences, or original intellectual property.
Accordingly, EHSB maintains the following governing principles:
Privacy: Personal information and unpublished materials shall be handled responsibly, discreetly, and only for legitimate purposes.
Consent: Submission does not, by itself, constitute consent to public distribution.
Ownership: Contributors retain their intellectual property rights unless a separate, explicit agreement provides otherwise.
Accessibility: Disability, communication differences, or technological limitations shall not serve as arbitrary barriers to participation.
Transparency: Contributors are entitled to understand how their submissions may be evaluated, modified, retained, credited, and published.
Dignity: No contributor shall be subjected to exploitation, humiliation, or discriminatory treatment because of the nature of their disability, personal identity, beliefs, or circumstances.
These principles apply regardless of whether a submission is accepted, declined, withdrawn, or retained for further consideration.
Our position is simple: Entrusting us with your work does not mean surrendering your rights to it.
This policy applies to materials voluntarily submitted to EHSB for review, consideration, collaboration, publication, distribution, archival preservation, or inclusion in Company-managed projects.
Covered submissions may include, but are not limited to:
Written articles, essays, reports, commentaries, and manuscripts;
Creative writing, poetry, scripts, and literary compositions;
Photography, illustrations, graphics, and other visual artwork;
Audio recordings, musical works, and audiovisual productions;
Educational, instructional, historical, and research materials;
Personal narratives, testimonials, interviews, and community contributions;
Software, website content, technical documentation, and project proposals;
Corrections, suggestions, accessibility feedback, and editorial correspondence.
This policy applies to submissions received through Company-designated electronic forms, email, or other authorized communication methods.
It supplements the Company's general Privacy Policy. Where both policies apply, EHSB intends to observe the more protective provision, subject to applicable law and any separate, expressly accepted agreement.
EHSB may request limited information reasonably necessary to identify, evaluate, administer, or respond to a submission.
Depending on the circumstances, this may include:
The contributor's name or preferred professional designation;
An email address or another appropriate contact method;
A title and description of the submitted material;
The submitted content and associated attachments;
Attribution preferences;
Ownership or licensing information;
Relevant permissions or publication authorizations;
Requested accessibility accommodations;
Correspondence relating to editorial review.
Electronic submissions may also contain technical metadata, including file creation dates, software information, embedded author details, or location information.
EHSB shall not knowingly collect unnecessary personal information merely because a submission process makes its collection convenient.
Contributors are encouraged to remove unnecessary private information from submitted files, particularly information concerning third parties.
A contributor's medical history, diagnosis, financial circumstances, or personal background shall not be required unless specifically relevant and legitimately necessary to the submission.
Materials submitted privately shall be treated as nonpublic correspondence unless the contributor expressly authorizes their disclosure or another lawful exception applies.
EHSB shall not, without appropriate authorization:
Publicly distribute unpublished manuscripts or creative works;
Reproduce private correspondence for promotional purposes;
Identify an anonymous contributor;
Share confidential submissions with unrelated individuals;
Publish personal or sensitive information incidentally contained within submitted materials;
Repurpose submitted materials for unrelated projects or commercial exploitation.
Access to unpublished submissions shall be restricted to individuals reasonably involved in evaluation, administration, technical processing, or authorized collaboration.
Limited disclosure may occur when necessary to comply with applicable law, respond to valid legal process, address credible safety concerns, resolve disputes, or protect against unlawful activity.
EHSB shall endeavor to limit any such disclosure to the information reasonably necessary for the circumstances.
5.1. Retention of Ownership
Unless otherwise expressly agreed, the contributor retains ownership of all intellectual property rights lawfully held in their submitted work.
Receipt, review, or acceptance of a submission shall not constitute a transfer of copyright or other ownership rights to EHSB.
5.2. Permission to Review
By submitting material for consideration, a contributor authorizes EHSB to receive, store, open, reproduce internally as reasonably necessary, and review that material for its stated submission purpose.
This limited permission does not independently authorize public publication, commercial distribution, or unrelated reuse.
5.3. Permission to Publish
Publication shall require a clear authorization from the contributor or another person legally entitled to grant the necessary rights.
The authorization should identify the work, its intended use, the applicable attribution preference, and any material restrictions.
Where publication is authorized, the contributor grants only the nonexclusive permissions reasonably necessary for the expressly agreed publication, display, distribution, and accessible presentation of the work.
Broader commercial licensing, sublicensing, substantial adaptation, or transfer of ownership requires separate authorization.
5.4. Editorial Modifications
EHSB may propose corrections to spelling, grammar, formatting, organization, or accessibility.
Substantive modifications affecting meaning, creative expression, factual representations, or authorial intent shall require appropriate contributor approval before publication.
5.5. No Guarantee of Acceptance
Submission does not guarantee publication, compensation, endorsement, or continuing distribution.
EHSB reserves the right to decline material for legitimate editorial, technical, ethical, legal, safety, or operational reasons.
Contributors may request attribution under their legal name, a professional name, an established pseudonym, or anonymously, where lawful and reasonably practicable.
EHSB shall not intentionally disclose a contributor's private identity merely because the contributor has agreed to publication under an alternate name.
A contributor may be asked to provide sufficient private contact or ownership information when reasonably necessary for verification, contractual administration, or legal compliance.
Public anonymity does not necessarily prevent identification through the work itself, embedded metadata, previously public information, or third-party systems.
Where feasible, EHSB shall review publicly distributed files for unnecessary identifying metadata.
Attribution preferences shall be recorded as part of the publication authorization and respected throughout Company-controlled distribution.
Contributors should refrain from submitting unnecessary personal information concerning themselves or others.
Special care should be taken with materials containing:
Medical or disability-related information;
Financial records or identifying numbers;
Private residential addresses or location data;
Personal communications obtained in confidence;
Information concerning children or vulnerable individuals;
Accounts of trauma, abuse, exploitation, or personal emergencies;
Privately disclosed spiritual or religious matters.
Submission of another person's private information does not establish that person's consent to publication.
EHSB may request redaction, evidence of permission, anonymization, or other protective measures before accepting or publishing such material.
Contributors must possess the rights or permissions reasonably necessary for the uses they authorize.
Materials involving minors require particular scrutiny. EHSB may require appropriate parent or guardian authorization when legally necessary and may decline submissions that create an unreasonable privacy or safety risk.
EHSB maintains that accessibility is an integral part of responsible communication, rather than an optional courtesy extended after the fact.
Persons with disabilities shall be afforded a meaningful opportunity to submit content and participate in editorial communications.
To the extent reasonably practicable, EHSB shall accommodate contributors who experience barriers involving:
Blindness or low vision;
Deafness or hearing loss;
Speech or communication disabilities;
Physical or motor limitations;
Cognitive, developmental, or learning disabilities;
Neurological or sensory-processing differences;
Temporary impairments or limitations arising from illness or injury.
A contributor shall not be required to disclose a specific medical diagnosis merely to request an accessible communication method.
Accommodation requests shall be considered individually, privately, and without unnecessary administrative burden.
EHSB shall endeavor to maintain reasonable alternatives when a designated submission interface presents an accessibility barrier.
Available alternatives may include direct email, compatible electronic documents, plain-text submissions, or another mutually workable method.
Contributors experiencing difficulty with a form, file format, authentication process, or embedded interface may contact:
eirishsb@gmail.com
Subject: ACCESSIBILITY REQUEST — CONTENT SUBMISSION
Requests should describe the barrier and preferred means of communication. Disclosure of a medical diagnosis is not required.
Where feasible, EHSB shall provide assistance with file conversion, document organization, written instructions, or alternative communication arrangements.
EHSB shall not automatically reject otherwise eligible material solely because the contributor cannot use a preferred submission interface or file format.
Any alternative method must remain consistent with reasonable privacy and security safeguards.
EHSB adopts the Web Content Accessibility Guidelines (WCAG) 2.2, Level AA, as a technical objective for relevant Company-managed digital publications.
This objective does not constitute a representation that every Company platform, historical document, or third-party service presently conforms to that standard.
In preparing submissions for publication, EHSB shall endeavor to apply the following practices:
10.1. Text and Documents
Use meaningful headings and logical reading order;
Maintain legible typography and appropriate contrast;
Avoid unnecessary complexity in navigation and document organization;
Preserve selectable, machine-readable text where practicable;
Provide accessible alternatives to image-only documents when reasonably possible.
10.2. Images and Graphic Content
Provide meaningful alternative text for informative images;
Identify decorative imagery appropriately;
Avoid relying exclusively on color to communicate important information;
Preserve essential information when adapting graphics for accessibility.
10.3. Audio and Video
Provide captions, transcripts, or other suitable alternatives where reasonably practicable;
Identify relevant speakers and meaningful nonverbal audio;
Provide descriptions of essential visual information when needed for comprehension;
Avoid unnecessary flashing or other potentially harmful visual effects.
10.4. Interactive Materials
Support keyboard navigation where the technology permits;
Use understandable controls and descriptive labels;
Avoid unnecessary time-sensitive interactions;
Consider compatibility with assistive technologies;
Provide an alternative means of obtaining important information when an interactive component is inaccessible.
EHSB may request additional source materials or collaborate with contributors to make a work more accessible.
Accessibility adaptation shall not be used as a pretext to distort the substance or meaning of a contributor's work.
EHSB recognizes that accessibility cannot be established solely through automated testing.
Accordingly, the Company shall endeavor to consider practical usability, assistive-technology compatibility, and the accessibility needs of the intended audience during publication preparation.
Contributors are encouraged, but not independently required, to provide useful accessibility information such as image descriptions, captions, transcripts, or accessible source documents when available.
When submitted material presents an accessibility barrier, EHSB may seek an accessible equivalent or make reasonable editorial arrangements rather than rejecting the material automatically.
The extent of adaptation will depend on the format, available resources, permissions, and intended publication.
Accessible presentation is a shared objective; it shall not become an unreasonable burden imposed exclusively upon a contributor with a disability.
EHSB shall not use automated profiling to determine a contributor's worthiness, credibility, or entitlement to respectful treatment.
Substantive editorial decisions shall remain subject to human judgment.
Decisions may consider relevance, originality, factual accuracy, intellectual property, safety, accessibility, quality, and compatibility with the intended project.
Where appropriate, EHSB may communicate material editorial concerns and invite a corrected or revised submission.
The Company shall not knowingly discriminate against contributors on the basis of disability or other characteristics protected under applicable law.
Editorial independence shall not be interpreted as permission for arbitrary mistreatment or exploitation.
EHSB may employ external technology providers for email delivery, hosting, document storage, submission forms, analytics, or content publication.
Those providers may process information according to their applicable service terms and privacy policies.
EHSB shall seek to limit unnecessary disclosure and shall not authorize unrelated exploitation of contributor information.
Private, unpublished submissions shall not be supplied to third-party generative artificial intelligence services for content generation, model training, or unrelated analysis without appropriate informed authorization.
Any proposed use of such technology involving a contributor's nonpublic material must be evaluated for privacy, intellectual property, and confidentiality implications.
EHSB cannot guarantee the security or accessibility of services it does not operate or control.
Submitted information may be retained for as long as reasonably necessary to complete editorial review, maintain authorized publications, administer permissions, resolve disputes, satisfy legal obligations, or preserve legitimately required records.
EHSB shall not retain unnecessary personal information indefinitely merely for convenience.
Where appropriate, rejected or withdrawn submissions may be deleted, anonymized, or removed from active administrative systems.
Limited copies may remain in correspondence histories, backups, legally required records, or records reasonably necessary to document publication permissions and disputes.
EHSB shall employ reasonable administrative and technical safeguards appropriate to the nature of the information involved.
No electronic system can guarantee absolute protection against unauthorized access, loss, or disclosure.
Should a material security incident occur, EHSB shall assess the circumstances, take reasonable corrective measures, and provide any notifications required by applicable law.
Contributors may request the withdrawal of an unpublished submission at any time.
Where a withdrawal request is received and processed before publication, EHSB shall not proceed with publication without a separate lawful basis or renewed authorization.
Following publication, a contributor may request:
Correction of inaccurate attribution;
Correction of material factual errors;
Removal of unnecessarily disclosed personal information;
Review of accessibility deficiencies;
Review of publication permissions;
Withdrawal or removal of the published contribution.
Post-publication withdrawal requests shall be reviewed in light of applicable law, contractual commitments, legitimate archival interests, and the circumstances of distribution.
Where removal is appropriate and within EHSB's control, reasonable steps shall be taken to carry it out.
EHSB cannot guarantee the removal of copies independently downloaded, archived, redistributed, indexed, or otherwise retained by third parties.
Contributors may report suspected privacy violations, inaccessible publication materials, discriminatory submission barriers, inappropriate disclosure, or misuse of submitted intellectual property.
Complaints may be submitted to:

Recommended subject: CONTENT SUBMISSION — PRIVACY / ACCESSIBILITY CONCERN
EHSB shall endeavor to examine complaints fairly, discreetly, and with reasonable attention to urgency and potential harm.
Possible corrective measures may include clarification, restricted access, corrections, alternative formats, removal of content, procedural changes, or other appropriate remedies.
A contributor who raises a legitimate concern in good faith shall not be subjected to retaliation for doing so.
This policy shall be administered by EHSB through its designated management or authorized representatives.
EHSB may revise this policy to reflect changes in applicable law, publication practices, technological capabilities, accessibility standards, or organizational operations.
Material changes shall be reflected in the published policy and its effective date.
Revisions shall not automatically expand rights previously granted over submitted intellectual property or retroactively authorize publication beyond the scope of existing permissions.
Nothing in this policy is intended to diminish rights or protections otherwise available under applicable law.

EHSB acknowledges that creative expression, accessibility, personal dignity, and privacy are not competing priorities.
A person should not be compelled to surrender their privacy to participate.
A person should not be compelled to surrender their intellectual property merely to be heard.
And a person should not be denied meaningful participation merely because the method of participation was designed without them in mind.
We receive contributions in trust, evaluate them with care, and endeavor to handle them with the respect their creators deserve.
End of Policy.
